In accordance with GDPR requirements of 25th May 2018, this is to inform all guests who wish to book accommodation at The Western Hotel of what data we require, store and how we use it.

By proceeding with your reservation you are giving your consent to use this data to complete your reservation and to provide all services in accordance with our policies.

We may need to hold the following details on your account:

  • Name & Address

  • Email Address

  • Telephone Numbers (Mobile & Landline)

  • Credit/Debit Card details

  • Dietary information if necessary

  • Car registration number

This data will be kept securely and maintained for as long as required to supply our services. Once it is no longer required to supply our services, Credit/debit card details will be deleted within 24 hours after check out or earlier on the request of the guest providing there are no outstanding charges. Name, contact details and car registration number of the guest/guests will stay recorded in the reservation system, but will not be used for marketing purposes without guest consent.

Hard copies of check in forms and other documents containing personal data will be held in secure location for the period of 6 months (period required to comply with local laws) and then shredded.

Any data we hold will only be retrievable by the person it relates to and will only be communicated by secondary means or in person providing that person is recognised to us.

Online Travel Agencies who provide us with booking details made online are compliant with the new GDPR regulations. Our PMS is connected to reservation systems using Secure File Transfer Protocol.

Terminals used to process card payments are provided by Bank of Ireland, compliant with both, GDPR and PCI DSS (Payment Card Industry Data Security Standard). The Western Townhouse Hotel Ltd. also meets all PCI requirements in order to use financial services provided by BOI.

Designated Data Protection Officer is in charge of collection, maintenance, storage and safe disposal of collected data. Outsourced Data Security Officer is in charge of safe back up and security of all hotels’ software and hardware.

Hard copies containing personal data are held in secure location and then shredded.

In cases where dietary information is provided by guest, it will be passed on only to the relevant staff in order to accommodate guest’s request relating to his/her food regime.

You have the right to object to the processing of your personal data at any time. This may result in cancellation of your reservation as we will be unable to  provide you with our services without access to this data. Any contracted service or cancellation fees will still apply.
